Email Templates

This is a Pro feature. Email Templates let you create and manage multiple email designs for different purposes, giving you flexibility and professionalism in your client communications.

Overview

While the free version of the plugin includes a single customizable email template (configured in Settings), Pro users can create an unlimited number of templates. This is ideal for businesses that need different email styles for different scenarios:

  • Invoices — A formal, detailed payment request
  • Reminders — A friendly follow-up for overdue payments
  • Promotions — A special offer or discounted payment link
  • Different services — Distinct templates for different products or service lines
  • Multilingual — Templates in different languages for international clients

Template Components

Each email template consists of:

  • Template Name — An internal label for your reference (not shown to recipients)
  • Email Subject — The subject line, with full merge tag support
  • Email Body — The HTML content of the email, with full merge tag support
  • Default flag — One template is marked as the default, which is pre-selected on the generator page

Accessing Templates

Navigate to Payment Links > Email Templates in your WordPress admin menu. This page lists all your templates in a table and provides options to add, edit, and delete templates.

Using Templates

On the generator page, a template dropdown appears (Pro only) that lets you select which template to use for the current email. The default template is pre-selected, but you can switch to any other template before sending. The selected template’s subject line and body are used for that email.

Storage

Templates are stored in a dedicated database table (wp_idplg_email_templates). On a fresh Pro installation, one default template is automatically seeded using the email configuration from your Settings page, giving you a ready-to-use starting point.

Tip: Start with the default template and duplicate its structure when creating new templates. This ensures consistent branding across all your email communications while allowing you to vary the messaging.
