Managing Templates

The Email Templates page provides a centralized interface for viewing, editing, and organizing all your email templates.

Templates Table

The main templates page displays a table with the following columns:

  • Name — The template’s internal name
  • Subject — The email subject line (merge tags are shown as-is, not replaced)
  • Default — A badge indicating which template is currently set as the default
  • Created — The date the template was created

Editing a Template

To modify an existing template:

  1. Find the template in the table.
  2. Hover over the row to reveal the row actions.
  3. Click “Edit”.
  4. Update any fields — template name, email subject, or email body.
  5. Click “Save Template” to apply your changes.

All changes take effect immediately. The next email sent using that template will use the updated content.

Changing the Default Template

To change which template is pre-selected on the generator page:

  1. Edit the template you want to make the default.
  2. Check the “Set as Default” checkbox.
  3. Save the template.

The previous default template is automatically unchecked — only one template can be the default at any time. You do not need to manually uncheck the old default; the plugin handles this for you.

Deleting Templates

To delete a template, hover over its row and click “Delete”. You’ll be asked to confirm the deletion before it’s processed.

There are two important rules around deletion:

  • You cannot delete the last remaining template. The plugin prevents this to ensure there is always at least one template available for sending emails. If you attempt to delete the only template, you’ll see an error message.
  • Deleting the current default template triggers automatic promotion. If you delete the template that is currently marked as default, the oldest remaining template is automatically promoted to default status. This ensures the generator page always has a default template selected.

Best Practices

  • Use descriptive names — Name templates clearly so you can quickly identify them in the dropdown. For example: “Standard Invoice”, “Payment Reminder”, “Promotional Offer”.
  • Keep a general-purpose default — Set your most commonly used template as the default so it’s pre-selected and ready to go on the generator page.
  • Review periodically — As your business evolves, update template content to reflect current branding, messaging, and contact information.

Note: Deleting a template does not affect previously sent emails. Log entries retain the content that was sent at the time, regardless of whether the original template still exists.
